Introduction To Managing Government Records
(Approx. 1 Hour, 30 Min.)
This brief session is aimed at
management and supervisory
staff, and is recommended as a prerequisite for the other offered seminars. It covers the statutory definition of records and records management, and the reasoning behind a records management program. There is particular emphasis of the requirements of the Arizona Revised Statutes (A.R.S.). The role of the Arizona State Archives is also discussed as well as records confidentiality and the commercial use of public.
Records Retention And Disposition
(Approx. 2 Hours)
This seminar is targeted at those people actually
responsible
for the maintenance of records in their office. It covers the interpretation and use of existing records retention and disposition schedules, and the consequences of not following the schedules. "Record series" and "essential records" are defined; retention periods, historical records, and record series "cut-offs" are explained. Also covered are legal retention requirements, legal use and litigation, archives, procedures for destroying records, and the process of developing or revising records retention and disposition schedules.
ERM for State and Local Governments + Document Imaging Options
(Approx. 2 hours)
Enactment of AETA and development of initiatives for implementing e-government are creating new concerns and challenges for managers and custodians of Arizona’s government records. Aimed at
management and supervisory
staff, this session deals with specific issues concerning the maintenance, storage, legality, retention and longevity of records maintained in electronic machine-readable form. . This session also provides an overview of contemporary document imaging methods including film-based imaging (micrographics), digital imaging and hybrid systems.
Paper Based Filing Systems
(Approx. 2 Hours)
This workshop is for those people charged with responsibility for filing active paper records. The session will familiarize attendees with procedures for effectively managing these active office files. Specific areas covered are alphabetical filing rules; serial and terminal digit filing, subject filing systems, and indexing systems. Automated file tracking and filing of non-paper records (audio tapes; microfilm rolls, etc.) is also included. Types and selection of various filing equipment and supplies is covered as well. If time permits, there are actual filing exercises and exams.
Maximizing Your Records Storage Experience
(Approx. 1 Hour)
This
free
workshop is for any agency storing records at the Records Management Center. This short workshop is for
State
agency staff who are responsible for transferring records to RMC.
With the statutory mandate to operate the Records Management Center on a fee for service basis, most customers are seeking to save costs and maximize the service they receive. Detailed and personalized instructions on using the bar code labels, packing boxes and completing the requisite forms is included. Also included are various cost saving strategies for our customers.
