Essential Records Next Round - TOWN HALL
Discussion and Review of Specific Retention Schedules
The next round of our Essential Records Project sessions will consist of 90 minute TOWN HALL sessions requiring audience participation and voting. This Next Round TOWN HALL will be an opportunity for public bodies to review groupings of Retention Schedules and decide which records series should be considered “essential”. We have organized 10 on-line sessions built around groups of shared interests and Retention Schedules. Please do the following BEFORE your assigned TOWN HALL session(s): 1. Review the 5 types of Essential Records detailed below: a. This records series is necessary for an emergency response. b. This records series is necessary to resume or continue operations in an emergency. c. This records series helps protects the health, safety, property and right or residents. d. This records series would require massive resources to reconstruct if damaged in emergency. e. This records series helps document the history of communities and families. 2. Review all of the General Retention Schedules that are specified for your TOWN HALL session. Be prepared to vote on a records series by records series basis on whether each records series is an Essential Record, per the five that are listed above. 3. Please think about these BEFORE your registered session(s), and be ready to vote Yes or No on whether each records series is an Essential Record. If you prepare in advance, these sessions will be beneficial to all participants and planners. ***On the afternoon before your registered session(s), I will email the PowerPoint slides and Instructions on how to access the on-line training room - to all registered attendees. Prior to the session(s), please print off the Retention Schedules involved in that particular TOWN HALL and have them with you when you log into the on-line training. ***We would appreciate your help if you could forward this email to all interested staff within your public body.***
